This Return, Cancellation and Refund Policy applies to the architectural and international construction consultation services provided by Hex & Square (a partnership firm) under the HexandSquare brand. Because our services involve highly specialized, customized, and milestone-based work—including architectural design, structural consultation, project management, site assessments, and feasibility studies—the applicability of cancellation or refund depends entirely on the nature, scope, and current stage of the service or project.
1. Service Cancellation
A client may request cancellation of a service or project by contacting us at hexandsquare@gmail.com. Cancellation requests will be reviewed based on the current status of the project and the terms of the applicable service agreement or proposal.
A cancellation request may not be accepted, or may be subject to significant penalties, where:
- Initial consultations, site visits, or feasibility studies have already been conducted.
- Design work, drafting, or modeling has already commenced.
- Resources (architects, engineers, consultants) have already been allocated.
- Third-party costs (e.g., municipal fees, soil testing, external engineering reviews) have already been incurred.
- The service has been substantially completed or delivered (e.g., final blueprints, approved permits, or project handover).
- The service is highly customized specifically for the client’s site and requirements.
- The applicable service agreement expressly provides different cancellation conditions.
2. Refund Eligibility
Where a refund is deemed applicable, the amount will be determined based on the work already completed, milestones achieved, and expenses already incurred.
Unused Services
If a service has not commenced and no substantial third-party, operational, or administrative costs have been incurred, a refund may be considered, subject to the terms of the signed service agreement.
Partially Completed Services
For services that have already commenced, any refund will be calculated only after deducting:
- The proportional value of work already completed (e.g., conceptual designs, preliminary sketches, man-hours).
- Third-party costs and vendor fees.
- Non-refundable transaction, banking, or payment processing charges.
- Travel, accommodation, or logistical expenses incurred for site visits or meetings.
- Other costs reasonably incurred in delivering the service up to the point of cancellation.
3. Custom Services
Services that are specifically designed, developed, or produced according to a client’s unique site, regulatory, or aesthetic requirements are generally not eligible for a refund once work has commenced. This includes, without limitation:
- Architectural planning and design drawings.
- Structural engineering consultations and calculations.
- 3D modeling, BIM (Building Information Modeling), or rendering services.
- Interior design concepts and space planning.
- Construction management, site supervision, and project coordination.
- Custom feasibility studies, zoning analysis, or international building code compliance reviews.
4. Third-Party Services and Statutory Fees
Many architectural and construction projects involve external entities. Where a project involves third-party services, statutory approvals, software licenses, or external consultants, refunds relating to those components will be strictly subject to the applicable third-party provider’s or government authority’s policies. This includes, but is not limited to:
- Municipal or local authority permit and approval fees.
- Soil testing, land surveying, or environmental assessment agencies.
- External structural, MEP (Mechanical, Electrical, Plumbing), or landscape consultants.
- Specialized software licenses or cloud collaboration platform fees.
5. Refund Requests
Refund or cancellation requests must be submitted in writing to hexandsquare@gmail.com. The request should include:
- Client name and contact information.
- Project name, location, or agreement reference number.
- Date(s) of payment and amount paid.
- Specific service or project phase purchased.
- Detailed reason for the cancellation or refund request.
- Any relevant supporting documentation.
We may request additional information or schedule a brief discussion before making a final decision.
6. Refund Processing
If a refund is approved, it will generally be processed to the original payment method used by the client, subject to the applicable bank or payment provider’s processing timelines. The actual time required for the funds to appear in the client’s account may vary depending on the financial institution and international banking regulations (if applicable).
7. Non-Refundable Amounts
Certain amounts are strictly non-refundable, as they represent sunk costs or irreversible commitments. These include, but are not limited to:
- Fees for completed design phases or delivered deliverables.
- Statutory, governmental, or municipal application and processing fees.
- Payments already disbursed to third-party consultants, vendors, or testing labs.
- Payment gateway charges, bank transfer fees, or currency conversion fees.
- Travel and logistical expenses already incurred for the project.
8. Disputes
We highly encourage clients to contact us directly at the earliest opportunity so that we can review, discuss, and amicably resolve any billing, milestone, or service-related concerns. Nothing in this policy is intended to exclude or limit any rights or remedies that cannot legally be excluded under applicable Indian law or the governing law of the specific project jurisdiction.
